The story

A large investment bank with over 4,500 employees worldwide and multiple offices across three continents had a long-standing partnership with Williams Lea for presentations and reprographics services. The bank wanted to improve reporting details captured during presentations production and give end users visibility into live job statuses.

The challenge

The bank needed to align the way it charged-back work completed by Williams Lea’s presentations teams to its clients.  Some of the bank’s staff were providing inaccurate Merger and Acquisition (M&A) project codes for pitchbooks and others weren’t charging back correct amounts. The bank also sought a better way to track job intake volumes and productivity more accurately than provided by existing reporting tools. Additionally, presentation teams located across the globe were siloed with little collaboration across teams resulting in duplicative efforts. The bank approached Williams Lea to improve reporting and better connect its global presentations team.

Our solution

The Williams Lea team set up a dedicated ENGAGE web portal for bankers and staff to submit their pitchbook requests. In addition to requiring correct project codes, the portal also enables relevant files that are required for processing requests to be attached to the request. This significantly improved job reconciliation with M&A project codes, increasing chargeback accuracy by over 95%. ENGAGE analytics also solved for other reporting issues, with live tracking of production volumes, turnaround times and job status updates. The platform also brings presentations teams at global locations closer through a newly established ENGAGE global dashboard, where end users can see a global request queue. This way, when a banker submits a job request at the end of their day, a presentations operative at another time zone picks up the request – radically increasing turnaround times.
